Privacy Policy

The Combined Continuous Cumulative Tabletop Tour & Jubilee Series ("CCCTTJS") is a program of The Venerable Seattle Ludographic Society ("VSLS"), a 501(c)(3) nonprofit organization. This Privacy Policy describes how we handle information collected through cccttjs.org.
1. Information We Collect
We collect information in the following ways:
- Tournament registration. When you register for an event we collect your name, email address, any optional information you provide (such as game preferences or team name), and confirmation of consent to our code of conduct.
- Payment information. Tournament entry fees may be paid via cryptocurrency. We record the receiving address, expected and received amounts, U.S. dollar equivalent, and transaction ID. We do not collect credit card or bank account information.
- Tournament results. Player standings, match results, and cumulative series scores are recorded and may be published publicly on this website as part of the series record.
- Usage data. Our web host may log standard server data (IP addresses, browser type, pages visited). We do not use third-party analytics trackers.
2. How We Use Your Information
- To process your tournament registration and send event-related communications.
- To maintain the official series standings and historical record.
- To verify and record entry fee payments.
- To contact you about future CCCTTJS events if you have opted in.
We do not use your information for commercial marketing purposes or sell it to any third party.
3. Public Tournament Records
By registering for a CCCTTJS event, you acknowledge that your name and game results may appear in published standings, on the series leaderboard on this website, and in any VSLS annual reports or event summaries. If you wish to participate anonymously, contact us before registering and we will make reasonable accommodations where possible.
4. Disclosure to Third Parties
We do not sell or rent your personal information. We may share information only in these limited circumstances:
- Cryptocurrency transaction verification. To confirm on-chain payments we query public blockchain APIs (such as mempool.space, Etherscan, Solana RPC, and BlockCypher). No personal information is transmitted to these services.
- Event co-organizers. If an event is co-hosted with a venue or partner organization, we may share attendee names with that partner solely for event logistics. We will notify you of any such sharing at registration.
- Legal compliance. If required by law or to protect the rights and safety of VSLS, participants, or the public.
5. Data Retention
Registration information is retained for the duration of your active participation in the series and for a reasonable period thereafter to maintain historical records. Tournament results are retained indefinitely as part of the official series record. Payment records are retained for a minimum of seven years.
6. Security
We take reasonable measures to protect your information. No internet transmission is completely secure, and we cannot guarantee absolute security.
7. Children's Privacy
CCCTTJS events are open to participants of all ages, but our website and online registration are not directed to children under 13. Registrations for minors must be completed by a parent or legal guardian.
8. Your Choices
You may request to access or correct personal information we hold about you by contacting us below. If you have opted into communications, you may unsubscribe at any time by replying to any email with "unsubscribe" in the subject line. Note that tournament results are part of the public series record and cannot be removed once published.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The revised policy will be posted on this page with an updated effective date.
